What to include in every request
For the best results, make sure your email includes these three details:
1. Participants
Clearly state who should attend the meeting. It will assume that all CC'd email addresses are required to attend the meeting unless clearly stated otherwise.
You can also let Clara know whether anyone is optional, especially when coordinating with a larger group.
2. Time frame
Explain when the meeting should take place. You can provide a specific date and time, a date range, or a general window such as “next Tuesday afternoon.” For meetings across different regions, include each participant’s time zone when possible. If no time frame is provided, it will assume you would like this to occur as soon as possible and will suggest your next available times.
3. Location
Specify where the meeting should happen. For example, let Clara know whether the meeting should be held over Zoom, by phone, at an office, or at another location. Note that if you do not have the mentioned option in your Location Preferences, it will assume you are providing them and leave the location noted as such on the invite.
Example of a clear request
“Clara, please schedule a 30-minute Zoom meeting with Jordan, Sam and Priya next week. Jordan and Sam are in New York, and Priya is in Pacific Time. Sam is optional.”
When a request does not include enough detail, Clara will use your saved preferences and suggest the earliest available times.
Issues to avoid
Clara is designed to save you time by handling scheduling tasks directly. While it can schedule, reschedule, update, and cancel meetings, it is not currently designed to work as a general-purpose chatbot or answer scheduling-related questions. Clara is powered by large language models, so it uses the details in your request to determine the most likely action to take. If instructions are vague or open to interpretation, the result may not match what you intended. Providing clear, specific details helps it understand your request and schedule events more reliably.
Open-ended questions
Clara is designed to take scheduling actions, rather than explain its reasoning or provide general status updates.
Avoid requests such as:
“What’s the status of this?”
“Why did you take that action?”
Instead, give Clara a specific scheduling instruction, such as:
“Please reschedule the meeting for next week.”
“Please cancel this meeting.”
Vague or Conflicting Information

If Clara needs clarification, it will email you with a question. Reply with a clear, specific instruction so it knows exactly what to do.
Instead of:
“Look at my calendar.”
“Try again.”
Try:
“Open my flexible meeting times.”
“You can schedule over my ‘Deep Work’ time.”
“Do not schedule next week. Please suggest my next availability during the week of August 3.”
2. Give Clara a Direct Instruction on Existing Threads
When adding Clara to an existing email thread, give it a direct instruction rather than copying it silently. A silent copy may result in Clara taking no action.
For example:
“Clara, can you help us find a time to meet next month?”
3. Keep Timing Details Consistent
Make sure the timing details in your request are clear and consistent. For example, do not ask Clara to schedule “next week” while also providing a date that falls outside that time frame.
If your instructions conflict, Clara will use its best judgment and proceed with the option it determines is most appropriate. Clear, aligned timing helps Clara schedule more accurately and reduces the need for follow-up questions.
