Communication Preferences

Configure how Clara keeps you in the loop and how it interacts with your meeting participants.

Contact Settings

Preferred Name

Choose what name you would like Clara to refer to you as in emails. (i.e. Dr. Smith, Sam, Professor Wright)

Company Name

Clara will add this to your event titles, if you chosen to add Company Names.

Note: If you have multiple companies, leave this section blank, as it will add it to every event title unless you specify otherwise in your meeting request or Booking Type.

Edit Contact

Update your basic account details and add any email addresses you'd like Clara to recognize as belonging to you. If you connect additional calendars to your account, Clara will also recognize you when you message from those associated email addresses.

CC/BCC Preferences

Clara can keep you in the loop on it's scheduling flow by keeping you on CC or BCC. You also have the option to not be included on any emails Clara sends. You can also check the status of any request you've looped Clara in to on your Dashboard here at any time.

Notification on Pending Action

When enabled, Clara will send you a confirmation email any time it is waiting on your instruction to proceed. This is useful if you want to confirm that Clara has paused the scheduling flow and is not moving forward until you respond.

Meeting Reminder Email

When this feature is toggled on, Clara will send meeting reminders to all participants of the meeting.

Email Footer

Determine whether you would like Clara to include a link to provide general feedback on the email it sent.

Email Signature

Customize the signature that appears on emails Clara sends on your behalf. This is a good place to note that Clara is an AI assistant, or to include your business name and contact details.

Email Signature Mode

You can also choose whether Clara's default sign-off ("Best, Clara") appears alongside your custom signature, or if your custom signature is used alone.

Internal Meeting Settings

Scheduling with Coworkers

This setting controls how Clara handles meeting requests that only involve internal colleagues.

Options:

  • Autobook — Clara automatically schedules the meeting based on everyone's calendar availability, no response needed from participants.

  • Ask for General Availability — Clara reaches out to internal participants and asks for their open windows before suggesting times.

  • Ask for Specific Availability — Clara includes internal participants in the scheduling flow and asks them to confirm availability, along with external participants.

External Commands

Decide if you would like your participants to also give Clara commands, such as scheduling, rescheduling or if you'd like to be the only one to tell it what you would like it to do.

Internal Calendar Event Handling

Choose whether you'd like Clara to respect your colleague's calendars.

For Google users, if you can see your colleagues' calendar, so can Clara.

For Microsoft users, Clara can only see their calendars if they are also a Clara user.

Invitation Email Account

If you've attached multiple calendars to your Dashboard, you can choose whether Clara sends the invite from your primary calendar or dynamically send the invite from whichever email address you created the meeting request from.

Note: Clara can only add a Google Meet link from a Google-based calendar and a Microsoft Teams link from a Microsoft-based calendar.

Subscribed Automated Messages

Clara can send you a daily calendar agenda or a weekly breakdown.

Best Practices

  • If your team is on Clara, enabling Autobook for internal meetings removes the back-and-forth entirely — Clara books directly based on calendar availability.

  • Consider turning on External Commands if you want participants to be able to reschedule or make adjustments without looping you in first.

  • Keep yourself on CC or BCC so you can monitor Clara's scheduling thread without interrupting the flow.
