Availability and Connected Accounts

Written by Meghan Miller

Your Availability and Connected Account settings tell Clara when you’re available to meet and which calendars to consider when scheduling.

Where to Find These Settings

You can manage these settings from your Dashboard:

Define when you prefer to take meetings by adjusting your availability on the calendar.

How it works:

  • Click and drag on your calendar to adjust time blocks

  • Each type of block tells Clara how to treat that time

Preferred Time

These are your ideal meeting times. Clara will prioritize suggesting times within these windows whenever possible.

  • Displayed as green blocks

  • Best used for your regular working hours or times you prefer to meet

Do Not Schedule

These are times Clara will treat as completely unavailable. Clara will never suggest meetings during these blocks and only confirm an event if you explicitly mention a specific time.

  • Displayed as grey blocks

  • Ideal for times you would never want to take a meeting

Flexible Time

These are times that are available, but not preferred.

  • Displayed as white blocks

  • Useful for overflow availability or less ideal meeting times

Clara will only use these times in specific situations:

  • If you request a timeframe that includes them (e.g., “early morning”), or

  • If a participant asks for one of these times, Clara will check with you first

  • Useful for overflow availability or less ideal meeting times

You can connect any of your own calendars, so Clara has a complete view of your availability. This is especially helpful if you manage multiple work or personal calendars.

Supported calendars:

  • Google Calendar

  • Microsoft Outlook

Once connected, Clara will:

  • Check all calendars for conflicts

  • Combine availability across accounts when suggesting times

Tip: You can change which calendar Clara sends invites from by toggling on the Invitation Email Account setting. This feature prompts Clara to send the invite from the email address that you loop it in with.

Primary Account

Your Primary Account determines which calendar Clara uses to send meeting invites. This is designated by the yellow star.

  • By default, this is the account you signed up with

  • You can change it by selecting a different connected account

This ensures your invites are always sent from the correct calendar.

Clara Calendars (Holidays)

When enabled, Clara will avoid scheduling meetings on major U.S. holidays.

This helps prevent meetings from being booked on days when participants may be unavailable.

If you're traveling, you can temporarily adjust your availability based on your destination.

By adding your travel dates and location on your Dashboard:

  • Clara will shift your availability accordingly

  • The times Clara suggests to participants will remain in your original timezone format

This is useful for maintaining accurate scheduling across timezones.
